Questions and answers

Tourcube FAQ: quick answers about the software.

Straight answers to the questions operators ask us most. If yours is not here, book a demo and ask us directly. We will give you an honest read.

The basics

Who is Tourcube for?

Tourcube is built for multi-day tour operators, inbound operators, and DMCs. It fits operators who run scheduled departures, custom FITs, private groups, or a mix of all three. It is purpose-built for high-touch, small-group and custom travel, not adapted from a general CRM and not built for high-volume packaged travel.

What does Tourcube actually cover?

The full operation in one system: selling (Trip Shopper, bookings, versioned FIT proposals, online booking), operations (departures, inventory, trip records, communications, guide portal, reporting), accounting (guest receivables, vendor payables, payment schedules), client and trade relationships (client households, vendors and products, agencies and commissions), and guest experience (branded guest portals, questionnaires, itinerary documents).

Every screenshot on the software pages is the actual product interface.

How long has Tourcube been around?

Tourcube has been in production with working operators since 2014, built on 30 years of designing tour operator systems. Clients include MT Sobek, Wilderness Travel, and Inspiration Outdoors, an Intrepid company.

How much does Tourcube cost?

Pricing depends on the size and shape of your operation, so we scope it with you rather than publish a one-size-fits-all number. Book a demo and we will walk your workflows, give you an honest read on fit, and follow up with pricing for your situation.

Accounting and payments

Does Tourcube replace QuickBooks?

No, and that is deliberate. Tourcube manages the tour-operations side of your money: guest receivables, vendor payables, payment schedules, terms, and auto-charge. It then feeds your general ledger through QuickBooks rather than replacing it, so your accountant keeps the tools they know.

Can Tourcube take card payments?

Yes. Tourcube integrates with Authorize.net and Stripe. Card data is stored on the processor's PCI-compliant servers, not in Tourcube, and stored payment profiles let you automate deposits and final payments.

Getting started

How does implementation work?

We handle implementation with you, including customized training, so your team is never left to figure it out alone. Many of our clients came off fully custom legacy systems or spreadsheets. When you reach out for support afterward, you are talking to a team that knows the software inside and out, and your configuration specifically. No tiered call centers.

What if Tourcube does not do something we need?

Most needs are covered out of the box. For the rest, we collaborate on solutions built for your business. Client requests genuinely drive the roadmap, and new features ship on a steady cadence.

How do we see it in action?

Book a demo. Tell us how you run trips today and we will walk the workflows that match, using the actual product. No slide decks.

Technology

Is Tourcube web based?

Tourcube has always run in the cloud, hosted on Microsoft Azure with enterprise-grade infrastructure, encrypted communications, automated backups, and 24/7 monitoring. This fall we ship Tourcube Version 8, a fully web-native rebuild: any device, anywhere your team works, nothing to install. It is a faithful rebuild, not a redesign, so the workflows and flexibility you rely on remain intact. Read the announcement.

What does Tourcube integrate with?

Out of the box: HubSpot, QuickBooks (via SaasAnt), Mailchimp, Authorize.net, Stripe, DerbySoft, Cirium, AXUS, travel insurance APIs, and WordPress. Live departure dates, pricing, and inventory can feed your website through the REST API. See all integrations.

Can guests and agents log in?

Yes. Guests get a branded, mobile-friendly portal to view booking details, submit forms, access documents, and make secure payments. Travel agents get portal access with optional guest-price suppression for wholesalers. Guides and trip leaders get their own portal for the departures they are assigned to.

Is our data secure?

Tourcube is hosted on Microsoft Azure with encrypted communications, automated backups, and 24/7 monitoring. Card data lives with the payment processors on PCI-compliant infrastructure, not in Tourcube.
